A dedicated Conference Services Team provides and maintains the highest standards of excellence and personalised service for our delegates and organisers.

The 4 four versatile function rooms are located across ten floors, including the newly renovated Meeting Room, featuring a dramatic royal red colour scheme. Three function rooms are on the first floor with a foyer ideally equipped to hold receptions. The Penthouse Suite can be converted into a function room and comfortably seat 25, if required.
 
TravellerS SuiteS MedaN makes available a full complement of meeting aids and technical assistance, which includes impressive inventory of state-of-the-art equipment for broadband Internet access and video conferencing facilities.

Meeting Room – 1st Floor

The newly renovated Meeting Room boasts a dramatic colour scheme of royal red, with signature cream wallpaper, adding a touch of grandeur to the ambience.

A special feature of the Meeting Room lies in its architecture, designed to accommodate a variety of seating arrangements, from classroom to theater style. The Meeting Room can seat up to 60 persons for a theater style audience, a smaller classroom styled seminar or u-shape styled conference of 30 to 35 persons. While most meeting rooms need a lot of 'dressing up' to theme the occasion, our Meeting Room has an edge over the rest, as it is designed in an unpretentious, elegant and sophisticated style.


Executive Meeting
Room – 1st Floor


The Executive Meeting Room occupies the same floor with the Meeting Room. As with the Meeting Room, there is a common foyer ideally equipped to hold receptions. The Executive Meeting Room can comfortably seat up to 7 persons, suitable for hosting small group meetings and private business luncheons and dinners. Fully equipped with overhead and slide projectors, flipcharts, panaboard and other essential facilities.

Kakatua & Kakamuda
Sections – 1st Floor

Named after the famous Indonesian parrot, Kakatua Café comprises of two sections, namely Kakatua section and Kakamuda section. The former is ideal for hosting private parties, with a seating capacity for 50 persons while the latter is suitable for conducting training sessions and informal meetings, for 30 persons. Overlooking the swimming pool, the two sections offer the option of being joined together with the lounge area as one function room. With direct access to the swimming pool, Kakatua Café is the perfect venue for hosting wedding receptions and parties, seating 100 persons.
Penthouse Suite – 10th Floor

Located on the 10th floor with a panoramic view of Medan city skyline, the Penthouse Suite possesses a seating capacity for 25 persons. The living area of the Penthouse Suite is flexible to accommodate round table, u-shape and theater styled seating arrangements. Fully equipped with overhead and slide projectors, flipcharts, screen and other essential facilities.

Terms of Payment

· A minimum of 50% deposit of the total cost is required upon confirmation and
  the balance payment to be settled upon completion of the function.
· Payments can be made through bank transfer, cash basis, credit cards, prepaid or guarantee letter.
· Kindly specify the services that will be guaranteed.
· Reservations with guarantee letters will be payable 14 days upon receiving our invoice,
  with a confirmation from our Credit Manager. Late payments will be subjected to a 2% monthly interest.
· Bank transfer :

· All major credit cards accepted.

Cancellation Policy
· The Hotel will honour banquet reservation upon   receiving confirmation. Any costs incurred by the Hotel   due to late cancellation will be the liability of the client   and payable upon demand, as specified herein below:
  - 72 hours prior to the event – 50% of the total F&B   revenue or function room rental
  - 48 hours prior to the event – 100% of the total F&B   revenue or function room rental
· The Hotel shall forfeit any deposit paid as liquidated   damages. Deposits are also non-refundable
  and non-transferable.
Cut-Off Date
· Upon requests, the Hotel will accept temporary bookings for function rooms. Upon blocking the premises, the client will have 72 hours to confirm the booking.
· In the event, should another client request the same space on a definite basis, the Hotel reserves the rights to automatically release the booking if we do not receive any advice from your goodself.
Food & Beverage
· Menu selections are available upon request, with a   notice of 5 days prior to the event.
· The Hotel will not be held responsible for menu items   added-on impromptu and reserves the rights to make   appropriate menu changes, in order to make proper   accommodations.
· No outside food or beverage for the function’s   consumption may be brought onto the premises. No   food catered by the Hotel may be taken out from the   Hotel’s premises.



Guaranteed Attendance
· The Hotel must be notified, at least 24 hours prior to the   event, of the final guest count. Thereafter, the Hotel   reserves the rights to confirm the final guest count at its   own discretion. The number of guests may be   subsequently increased at the quoted per person cost.   Should the actual guest count falls below or exceeds the   minimum guaranteed attendance as stipulated in the   Banquet Confirmation Contract, the minimum charges   will still be based on either the actual number of guests   attending or the guaranteed number, whatever is   greater.
· In the event, should the actual number of guests   attending exceeds the guaranteed number, without prior   confirmation with the Hotel, the Hotel will not be held   responsible for any shortage of food or drinks during   the function, even if the Hotel undertakes to provide for   the extra covers. Any additional requests will be   charged accordingly.
Miscellaneous
· No materials should be posted, nailed, screwed on, or   otherwise attached to the walls, columns, floors or other   parts of the building, furniture or equipment. Anything in   connection therewith necessary or proper for the
  function will be at the expense of the client.
· Any disturbance, altercation or offensive behaviours by   the client or his/her guests are the sole responsibility of   the client. Failure to monitor or control the situation may   result in the termination of the event.
· For safety reasons, smoking is strictly prohibited in the   function room. It is imperative that all fire exits are kept   freely accessible at all times. Fire exits or access paths
  to emergency exits may not be used as storage areas
  for materials or packaging. Sound or lighting cables
  must be covered and that the entire area is trip-free.
· The Hotel will not be held responsible for any personal
  or property damage(s) to the client or his/her guests   during the period in which the function room is under   contract or use by the client.
· Failure to comply with any of the above policies may   result in the termination of the event without
  prior lotice.
